Reproduction of archival documents for study, research and use in accordance with current legislation

Service description

The reproduction service provides digital or photographic copies of documents held by the Cagliari State Archives, in accordance with current legislation and the need to protect the documentary heritage. Reproducing documents is essential for study, research and remote consultation of sources, and reduces the handling of originals, helping to preserve them over time. The service is intended for scholars, researchers, professionals, students and remote users who need copies of documents for study, research or uses permitted by law.

Types of reproduction

The Cagliari State Archives offer various reproduction methods, assessed case by case according to the condition of the documents and the purpose of the request. Digital reproductions The Institute can produce digital copies of the documents it holds, subject to:

  • the physical condition of the media;
  • protection restrictions;
  • service priorities.

Digital reproductions are generally intended for study and research. Photographic reproductions In some cases, photographic reproductions may be requested and carried out by authorised staff in accordance with the procedures established by the Archives. Reproductions using personal equipment The user may reproduce documents using personal equipment only subject to:

  • current legislation;
  • the condition of the documents;
  • prior authorisation from the reading-room staff.

Reproduction is permitted without flash, tripods or stands. Not all documents may be reproduced using personal equipment.

Documents that may be reproduced and applicable limits

Reproduction is always subject to an assessment of the condition of the material and compliance with legal restrictions. The following may not be reproduced:

  • documents in poor condition;
  • documents subject to specific protection restrictions;
  • materials whose physical integrity could be compromised by reproduction.

The Archives reserve the right to restrict or refuse reproduction for reasons of conservation, protection or security.

Reference legislation and use of images

The reproduction service is governed by cultural heritage legislation and the current rules on the reproduction and reuse of images. Reproductions may be used solely for the purposes stated in the request. Any other use — including publication, distribution, editorial or commercial use — requires specific authorisation and, where applicable, payment of the relevant fees. Users are responsible for the proper use of images and for complying with copyright and cultural heritage protection rules.

How to submit a request

A reproduction request must be submitted in accordance with the procedures specified by the Archives, indicating:

  • the documents concerned;
  • the type of reproduction requested;
  • the intended use.

Requests are examined by Institute staff, who assess feasibility and inform the user of any conditions, timeframes and costs. Delivery times vary according to the complexity of the request, the condition of the documents and the service’s workload.

Costs and fees
